This notice explains what personal information Linkavid handles, why we handle it, and the rights you have. It is written with UK data-protection law in mind.
01 — Who we are
Linkavid provides a delivery and presentation layer for films hosted with third-party cloud providers. Linkavid is the data controller for the personal information described here. You can reach us at Contact.
02 — Information we handle
- Account information — your email address, authentication details, and whether you signed in with email or Google.
- Studio profile — studio or business name, studio logo, and reply-to contact email if you provide them.
- Billing information — plan, subscription and purchase status, and identifiers from our payment processor. We do not store your full card details.
- Gallery information — gallery titles, event type and date, client or event names you enter, cover images you upload, passwords you set, and film titles.
- External media links — the URLs you supply pointing to films hosted with providers such as Dropbox, Google Drive, Vimeo, YouTube or your own network storage.
- Delivery information — recipient email addresses and messages you send when you deliver a gallery, and delivery status records.
- Technical and log information — IP address, browser and device information, and error or security logs generated when the service is used.
- Support communications — the content of enquiries you send us.
03 — What we do not store
Linkavid does not store, host, copy or back up your original video files. Films play directly from the third-party provider you linked. We store only the link and the information needed to present it. If you remove a file from your provider, it stops being available through Linkavid.
04 — Why we handle it, and our lawful bases
- To provide the service, create and display galleries, and deliver galleries to your clients — performance of our contract with you.
- To take payment, manage subscriptions and credits, and prevent duplicate or fraudulent charges — performance of our contract and our legitimate interests.
- To keep the service secure, diagnose faults and prevent abuse — our legitimate interests.
- To respond to your enquiries — our legitimate interests and performance of our contract.
- To meet accounting, tax and other legal duties — compliance with a legal obligation.
- To send optional marketing, if we ever do — your consent, which you can withdraw at any time.
05 — Client and recipient information
When you enter client or event names, or send a gallery to a recipient, you are asking us to process information about other people on your behalf. You are responsible for having a proper basis to share those details with us and for what you present in your galleries.
06 — Service providers we use
- Payment processing — Stripe, which handles card details directly and shares payment and subscription status with us.
- Hosting, database, authentication and file storage — our cloud infrastructure providers, who store account data, gallery data and uploaded cover images and logos.
- Email delivery — Resend, used to send gallery delivery and service emails.
- External media providers — the provider you linked (for example Dropbox, Google Drive, Vimeo or YouTube) receives requests from your viewers' browsers when a film is played, and handles that information under its own policies.
07 — International transfers
Some of our providers may process information outside the UK. Where that happens, we rely on the safeguards those providers put in place, such as UK-approved standard contractual clauses or an adequacy decision.
08 — Retention
We keep account, gallery and billing records for as long as your account is active and afterwards where we need them for legal, accounting or dispute-resolution reasons. Records required for tax and accounting are kept for the period required by law.
We have not yet fixed a single published retention period for every category of data. If you would like your data deleted, contact us and we will act on your request in line with your rights and any legal duties we have to retain certain records.
09 — Security
We use access controls, encrypted connections and database-level access rules designed so that each account can only reach its own data. Gallery passwords are stored in hashed form. No online service can be completely secure, but we take proportionate measures and review them as the product grows.
10 — Your rights
- Access — ask for a copy of the personal information we hold about you.
- Correction — ask us to fix inaccurate or incomplete information.
- Deletion — ask us to delete your information, where no legal duty requires us to keep it.
- Restriction — ask us to limit how we use your information in certain circumstances.
- Objection — object to processing based on our legitimate interests.
- Portability — receive certain information in a portable format, where applicable.
- Withdraw consent — where we rely on consent, withdraw it at any time without affecting earlier processing.
To exercise any of these, use Contact.
11 — Complaints
If you are unhappy with how we handle your information, please tell us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk.
12 — Children
Linkavid is intended for professional users aged 18 or over. We do not knowingly create accounts for children. If you believe a child's information has been provided to us, contact us and we will remove it.
13 — Cookies and similar technologies
See our Cookie Policy for details of the technologies used in your browser.
